Who we are

Emerald Mortgages is a mortgage and insurance intermediary. This notice explains how we collect, use, store and share your personal information when we act for you. As part of the Financial Conduct Authority (FCA) requirements, Emerald Mortgages is an Appointed Representative of Mortgage Intelligence Ltd and we may enter your details on their systems. I. The information we may collect

We may collect different types of information depending on the service you need. Typical examples include:

 

Identity & contact details 
Full name, previous names, date of birth, nationality, NI number, home and previous addresses, email address, phone numbers

 

Financial & employment information 
Income, payslips, employment details, bank statements, credit/debit card details, existing mortgage or loan details, self-employed accounts, accountant details

 

Property & transaction information 
Current or new property details, proof of deposit, solicitor details, estate agent

 

Identification & verification 
Photographic ID, proof of address, credit checks, Land Registry information

 

Sensitive or special categories 
Health details, criminal convictions, ethnicity.

 

We will only collect what is relevant and necessary for the services we provide.

2. How we collect information

We get information from: 

 

  • You (forms, emails, calls, meetings)

  • Third parties, for example: Information from your employer, lenders, banks, insurers, solicitors, estate agents, credit reference and default agencies, Land Registry, Public registers, our service providers and partners, automated tools (cookies, web analytics) when you use our websites or online ads

You may also provide information to us via social media, marketing sign-ups, or when you apply for a product or service.

3. Why we use your information

We use your information to, check your identity and carry out credit or other checks, provide mortgage and insurance advice and place products with lenders or insurers, manage and process applications and any related payments, prevent fraud, money-laundering and other criminal activity, meet our regulatory and legal obligations (FCA, HMRC, etc.), Improve our services, websites and communications, contact you about products or offers that may be relevant (unless you opt out).

We process personal data under several lawful bases, including: Contract - to perform services you have asked us to provide 
Legitimate interests - for things like fraud prevention, security, analytics and communications 
Public interest/ legal obligation - to comply with laws or regulatory requirements 
Consent - where we ask for and obtain your clear permission (you can withdraw consent at any time)

5. Who we share your information with

We do not sell your personal data. We may share it with: 
Lenders, insurers and other financial organisations to arrange products, our Network Principal Mortgage Intelligence Ltd, contracted service providers (IT hosts, cloud services, call centres, helpdesks), credit reference agencies, Land Registry, HMRC, FCA and other regulators, law firms, auditors and professional advisers, other parties if required by law or to prevent fraud or harm. 
Third-party websites and features (social media, maps, etc.) have their own privacy rules - please review those before using them.

6. How long we keep your information

We keep personal information only as long as necessary for the purpose it was collected. As a general rule, Emerald Mortgages keeps personal data for up to 7 years after our last contact with you, unless a longer retention period is required or permitted by law.

Some of our service providers or partners may be located outside the UK. Where this happens, we will take steps to protect your data and make sure it is processed safely and in line with this notice.

8. Profiling and automated decisions

We may use profiling (automated analysis) to help with fraud detection, risk assessment and to improve our services. We may also use anonymised data for reporting and market research. We will not make unfair decisions about you based solely on automated processing without giving you a way to challenge or ask for human review.

We aim to respond to requests and complaints promptly. If we cannot meet your request for lawful reasons we will explain why to the extent we are able.
